Pilot Terms of Use

These terms govern the free, invitation-only pilot of SpecBase. By creating an account or using the tool, you agree to them on behalf of yourself and your practice. If you do not agree, do not use the service.

1. What SpecBase is

SpecBase is a tender-authoring tool that helps architecture practices assemble specification documents by reusing their own past tender content. It does not write specifications for you and uses no generative AI to produce clause text.

2. Pilot / beta status

The service is provided as a pilot under active development. It may change, break, lose data, or be withdrawn at any time without notice. It is provided free of charge during the pilot and is offered "as is" and "as available", without warranties of any kind, whether express or implied.

3. Not professional advice

SpecBase is a drafting aid only. It does not provide architectural, engineering, fire-safety, structural, building-control, legal, or other professional advice. Every document produced is a draft that must be reviewed, edited, and approved by a suitably qualified professional before it is issued, relied upon, or used for construction. We give no warranty that any specification is complete, accurate, fit for purpose, or compliant with any standard, contract, or regulations (including the Building Regulations). You are solely responsible for checking and approving the final document.

4. Your content and intellectual property

You retain ownership of all material you upload and of the documents you produce. You are responsible for ensuring you have the right to upload and use that material. You must not upload third-party specification content (for example proprietary NBS clauses, manufacturer text, or another party's specifications) unless you are licensed to do so. You grant us a limited licence to process your content solely to operate the service for you.

5. AI and your data

Your project data is never used to train any AI model. See our Privacy Policy for how we handle your information.

6. Acceptable use

  • Keep your login credentials confidential; you are responsible for activity under your account.
  • Do not attempt to access other practices' data, probe, or disrupt the service.
  • Do not upload unlawful content or anything that infringes a third party's rights.

7. Limitation of liability

To the fullest extent permitted by law, our total liability to you arising out of or in connection with the pilot is limited to the fees you have paid for the service, which during the free pilot is £0. We are not liable for any indirect, special, or consequential loss, or for loss of profit, contracts, goodwill, or data. Nothing in these terms excludes liability that cannot lawfully be excluded (for example for death or personal injury caused by negligence, or for fraud).

8. Suspension and termination

We may suspend or end your access to the pilot at any time. You may stop using the service at any time and ask us to delete your data (see the Privacy Policy).

9. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
