Who we are
SpecBase ("we", "us") provides a tender-authoring tool for architecture practices. For data you upload about your own projects and clients, you are the data controller and we act as your data processor; for your account details and our own use of the service, we are the controller. What we collect
- Account data — your name, email/username, practice name, and a securely hashed password.
- Content you create — projects, the past-tender material you upload, the specifications you assemble, and the documents you export.
- Usage data — basic events (logins, exports, feature use) and technical logs, used to operate and improve the pilot.
How we use it
- To provide the service and store your work.
- To keep the service secure and to fix problems.
- To understand how the pilot is used so we can improve it.
AI and model training
SpecBase uses no generative AI to produce clause text, and your content is never used to train any AI model — ours or anyone else's.
Sharing and isolation
Each practice's data is kept separate; one pilot user cannot see another practice's projects. We do not sell your data. We share it only with infrastructure providers needed to run the service (for example our hosting provider), and only as required by law.
Where it's stored
The service runs on a server hosted in the EU/UK. Data is transmitted over encrypted (HTTPS) connections.
Retention and deletion
We keep your data for as long as your pilot account is active. You can ask us to export or delete your data at any time by emailing [email protected]; we will action deletion requests promptly.
Cookies
The app uses a single signed "remember-me" login cookie so you stay signed in across reloads. The marketing site uses no advertising or cross-site tracking cookies.
Your rights
You have the right to access, correct, export, and delete your personal data, and to object to or restrict certain processing. To exercise these rights, contact us. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
